Parts Module Settings

The Parts Module enables efficient management of inventory and spare parts that are essential for job tasks. To configure this module, you will need to define key settings such as part categories, stock levels, vendor details, and pricing. Accurate setup ensures real-time tracking of inventory, timely reordering, and proper allocation of parts to specific jobs. Additionally, integrating this module with the purchasing and jobs modules enhances overall efficiency by automating parts requisition and ensuring the availability of necessary resources for each task.

Depot Setup (Warehouse)

To set up a new depot in SAM, first log in to the system using the administrator account. Once logged in, navigate to the ‘Administration’ menu option and click to select it. From there, select the ‘Modules Settings’ menu option, then click on the parts menu option  to display the depots overview screen. Here you can click on the option to add new depots (warehouse) or vans (engimeers vehicles).This action will display the options related to adding a new depot.

Unit Of Measure setup

To configure the Unit of Measure in SAM, navigate to the administration menu. From there, select the module stttings, then the parts menu option. Select settings from the top menu. This allows you to define how quantities for items such as parts, materials, and assets will be tracked (e.g., pieces, litres, kilograms). Assign specific units to each part or resource, ensuring consistency across jobs and inventory management. This setup is essential for accurate stock control, pricing, and job cost estimations.

Setup Units of Measure

Various units of measure can be used to track inventory quantities accurately. Common units include:

  • pieces or Units (for countable items), 
  • litres or gallons (for liquids), 
  • kilograms or pounds (for weight-based materials), and 
  • metres or feet (for length-based items). 

These units ensure precise stock management, enabling businesses to maintain accurate records of their parts and materials for job allocation and inventory control.

Nominal Codes

To configure nominal codes in SAM for the Parts Module, navigate to the administration section  From there, select the module stttings, then the parts menu option. Select financials from the top menu. Nominal codes are used to categorise transactions, linking parts and materials to specific general ledger accounts. This setup ensures that purchases, stock usage, and costs related to parts are accurately recorded in your financial system. Assign appropriate nominal codes to each part category or type, ensuring consistent and accurate reporting, invoicing, and financial management across all job and inventory transactions.
