Leads List View
The Leads Management module in SAM provides a streamlined way to capture, track, and manage potential customers, functioning much like a simplified CRM.
A lead is anyone who has shown interest in your products or services but has not yet become a customer. Effective lead management ensures enquiries are organised, followed up promptly, and not overlooked, helping improve engagement and conversion rates.
SAM supports this process by allowing you to collect and review key information, such as contact details, interests, and interaction history, so you can personalise communication, target marketing more effectively, and optimise follow-ups.
Icon Functions
Adding Leads
To add a new lead in SAM, click the “Add“ icon at the top of the screen to open the Lead Details window. When the Lead Details window appears, enter the required information in all applicable fields to create a new lead and click the “Save” icon at the bottom of the window.
Deleting Leads
Leads can be deleted individually or in bulk. To delete a lead, select the lead or leads you wish to delete by ticking their selection boxes, then click the “Delete“ icon located at the top of the screen.
Convert Leads to Opportunities
SAM allows you to convert a lead into an opportunity once you believe there is potential business or a quotation needs to be issued.
To convert one or multiple leads, select the relevant records using their selection boxes, then click the “Opportunity“ icon at the top of the screen. All details from the selected leads, including ongoing conversations, will be transferred to the opportunity record. Opportunities are viewable in the Opportunities module.
Exporting Leads
To export one or more leads to a CSV file, select the required leads and click the “Export“ icon at the top of the screen. The selected leads and all their respective data values will be exported to your local hard drive.
Mass Emailing Leads
SAM supports mass emailing. To send the same email to multiple leads, select the relevant leads and click the “Email“ icon. The email drafting window will open with all associated email addresses inserted automatically.
Create your message and click the “Send” icon at the bottom of the email window.
Note: When drafting the message, ensure you include the placeholders #FirstName# and #LastName# ensuring case sensitivity and surrounding hash characters. These will be replaced with the appropriate contact names when the email is sent.
Email List Management
The system allows you to save email lists for future use (e.g., leads interested in CRM or Service Management).
- To save a new list, click the "Mail List" icon, you will be asked to enter a name for the list, then click "Save".
- To load a saved list, click the "Mail List" icon and select the list you wish to upload, then click "Load".
- To reset and return to the full list of leads, click the "Mail List" icon and select "Reset".
Manage Leads
Before clicking the “Manage Leads“ icon, select the lead(s) you want to assign or unassign. Once selected, click the “Manage Leads“ icon to display the following two options:
1/ Assign Lead (to another User)
- Click "Assign Lead"
- A dropdown list of users will appear
- Select the appropriate user from the list
- Click "Assign" to complete the process
Once the process is completed, the lead details will only be visible to the assignee, the assignor, and the administrator.
2/ Unassign Lead
To unassign a lead, simply click “Unassign Lead“ to clear the assignment. This removes the currently assigned user from the selected lead(s), allowing them to become available for viewing by all users.
Email Inbox Assignment
SAM allows users to assign incoming emails from their personal inbox to corresponding contact records within the SAM database. For this process to function correctly, you must ensure that your email address and app password are correctly configured in your SAM user profile. You may require assistance from your system administrator to generate and configure the app password.
To manually assign an incoming email to a SAM contact, first select the required contact by clicking the appropriate contact selection box, then click “Email Inbox“. SAM will retrieve the emails from your inbox and display them, allowing you to select one or more emails to link to the chosen contact.
Alternatively, you can synchronise all new inbox emails automatically. By clicking the “Sync“ button, SAM will match incoming emails to existing contacts in the database and update the relevant records automatically. When a new email is linked to a contact, the record status will be highlighted with a green background to indicate new activity. Once the record is opened, the status indicator will return to its normal state.
Customise Columns
SAM allows you to customise the columns displayed in the overview screen so you can focus on the information most relevant to your workflow.
Column Headers
To customise columns, click on the “Customise Columns” dropdown option located on the top right hand side of the screen. A dropdown list of column headers is displayed allowing the user to select or deselect column headers.
You can also resize column widths by dragging the edges of each header. SAM remembers your layout automatically, so your preferred column setup will be restored the next time you use the module.
Search
The SAM search function allows you to quickly locate records within any list view. Simply type a keyword, name, reference number, or partial text into the “Search“ box at the top of the list. As you type, SAM instantly filters the results to show only the matching records.
Gear Icon
The search works across all visible columns, you can click on the gear icon to deselect columns that should not be included in the search making it easy to find the information you need without scrolling or navigating through multiple screens.
