Quotation Details

SAM’s Quotations Module is designed to streamline the process of generating, managing, and tracking quotations, ensuring businesses can provide accurate and professional proposals to their clients with ease. The module enables users to create customised quotations, incorporate detailed pricing structures, and monitor quotation statuses, helping to improve sales efficiency and client engagement.

Adding a New Quotation

  • Click on the New Quote button at the top of the screen.
  • Select an existing customer from the dropdown list or enter the name if the customer does not already exist in the system.
  • Enter the full Address Details, Customer Name, Telephone Number, and Contact Details.
  • Click on the Add Item button and select the required products from the dropdown list.
  • To enter service items, click on the Add Text
  • Once all required information is entered, click the OK button to save the quotation in memory.

Discounting a Quotation

There are two methods of discounting a quotation:

  1. Discount by Percentage: If discount by percentage is selected, it will be applied to the total cost of the quotation. Example (1): If the total cost of the order is £1000.00 and a 1.5% discount is applied, the total cost would be calculated as £1000.00 – (1.5% of £1000.00) = £985.00.
  1. Discount by Fixed Amount: If discount by a fixed amount is selected, then A fixed amount is deducted from the order total. Example (2): If a fixed discount of £40.00 is applied, the total cost would be £1000.00 – £40.00 = £960.00.

Sales/Service Job There are two additional buttons at the bottom of the form:

  • Sales Order: If the quotation is for a sales order and the client wants to proceed, press the Sales Order button, this will transfer the order details to the sales order module and mark the quotation as “won”
  • Service Job: If the quotation is for a service job, press the Service Job if the quotation is for a service job, press the service job button, this will create a new service job in the jobs module and mark the quotation as “Won”

Please note: Quotations for service jobs must include a text entry on the form, which normally normally describes the required service.
